Automated client onboarding

Automated client onboarding fires everything a signed contract should trigger from one event: payment collected, workspace and folders created, accesses granted, tasks generated, kickoff scheduled and the welcome sequence sent. Two days of somebody clicking through five systems becomes a trigger and a notification that it finished.

What problem this solves

“Every new client costs us two days of somebody manually creating folders, accounts and tasks.”

Every new client costs a couple of days of manual setup — folders, accounts, permissions, task lists, calendar invitations, the welcome email somebody rewrites each time. It is unbillable, it is nobody's favourite work, and because it is boring it is where things get forgotten.

The forgetting is the expensive part. A missing access or a kickoff that slipped a week is the client's first impression of how you operate, formed before you have done any of the work they hired you for.

It is a double market. Agencies feel it from the inside as lost days; SaaS companies feel it from the outside, where weak onboarding is the leading cause of early churn. The build is the same shape in both cases.

What it gives back

Two days of setup per account collapsed into a trigger, and a first week that makes the client feel they chose right.

Who this is for

Agencies, SaaS companies and professional services — anywhere a new client triggers the same checklist and the checklist lives in someone's head or in a document nobody updates.

It pays from roughly two new clients a month upward. Below that the manual version is survivable; above it you are spending a meaningful share of a salary on setup that a trigger could do.

It is also the build that makes a small team look like a larger one. The first week is where a client decides whether they chose right, and the difference between a considered sequence and an improvised one is visible to them even when the underlying work is identical.

Frequently asked questions

What triggers it?
A signed contract, usually from PandaDoc or DocuSeal, or a completed payment in Stripe. Which one you pick depends on whether you want setup to start on signature or on money received — both are common and the answer is a business decision rather than a technical one.
What if a client needs something different?
The flow branches on client type, and manual steps stay manual where they should. The goal is not to automate every case; it is to automate the ninety per cent that is identical so the exceptions get the attention they actually need.
Which systems does it touch?
Typically Google Workspace for folders and accesses, ClickUp or Asana for tasks, the calendar for kickoff, and your email tool for the welcome sequence, with the CRM updated throughout. If a system has no API we route that step to a human task rather than pretending it is automatic.
What happens when a step fails halfway through?
It alerts with the specific step named and the run log attached, and the flow is built so the remaining steps can be re-run without duplicating what already succeeded. A half-onboarded client that nobody notices is the failure mode worth engineering against.

A client decides whether they chose right in the first week. What are you showing them in that week right now?
