Appointment reminders and no-show recovery

No-show recovery automation confirms the appointment before it happens, lets the patient or client move it with one tap instead of vanishing, and offers the freed slot to your waiting list the moment a cancellation lands. Nobody picks up a phone. It is the cheapest build in our catalog and the fastest one to prove.

What problem this solves

“Four people didn’t show up last week. Nobody called them, and nobody filled the slots.”

Four people did not show up last week. Nobody called them, and nobody filled the slots. That is two losses from one event: the appointment that did not happen, and the person on the waiting list who would have taken it if anyone had asked in time.

The reason it persists is that chasing confirmations is nobody's actual job. It is the thing the front desk does if the morning is quiet, which means it happens least on the weeks it matters most.

The number is one you already have. Multiply last month's missed appointments by your average ticket — that is the figure this build is proposing to recover, and it is your figure rather than ours.

What it gives back

Every rescued slot is money booked the same day. It is the cheapest thing in this catalog to build and the fastest to prove.

Market contextPractice-management platforms in LatAm report no-show reductions of 40–65% using WhatsApp reminders with confirm buttons.

What runs, end to end

Who this is for

Healthcare, aesthetics and any professional service booking time in slots: clinics, dental practices, salons, physiotherapists, consultants who bill by appointment.

It fits from a single-practitioner practice upward. A one-chair clinic recovers fewer slots but also pays the least for the build, and the ratio holds — which is why this is usually the first thing we suggest when the budget is tight.

Strongest in Latin America and the US Hispanic market, where WhatsApp reminders with a confirm button reach people that SMS and email do not. Practice-management platforms across the region report no-show reductions in the forty to sixty-five per cent range with that pattern.

Frequently asked questions

How many reminders, and when?
The default is seventy-two hours, twenty-four hours and two hours before, each with a one-tap confirm or reschedule. That cadence is a starting point and we tune it against your no-show pattern — an aesthetics clinic and a dental practice do not fail the same way.
Will it annoy patients?
Three messages with a button is roughly what people now expect from anyone holding an appointment for them. The failure mode to avoid is not frequency, it is messages that cannot be acted on: a reminder with no way to move the appointment converts a would-be reschedule into a no-show.
Does it connect to our practice management system?
If it has an API, yes, and most of the mainstream ones do. Google Calendar works out of the box. Where a system is closed we will say so before you commit — sometimes the honest answer is that the reminders can go out but the rescheduling has to stay manual.
How does the waiting list actually work?
When a cancellation is detected the slot is offered to the waiting list in order, with a time limit, until someone takes it. The speed is the point: a slot offered within minutes of being freed gets filled, one offered the next morning does not.
